Privacy Policy

This Privacy Policy describes how ClassDolphin (“we,” “us”) collects, uses, and shares information when you use the ClassDolphin website, APIs, and the ClassDolphin Student and ClassDolphin Teacher iPad apps (together, the “Service”).
ClassDolphin is an instructional product used by schools. When a school uses ClassDolphin with students, the school is typically the organization that decides how educational records are used under laws such as FERPA. This page explains what the Service processes so schools, teachers, students, and App Store users can understand the product.
This summary is for transparency. It is not legal advice. Schools should review their own policies and vendor agreements before parent or student notices.
1. Who this applies to
- Teachers and school staff with ClassDolphin accounts
- Students enrolled by a school (web and Student iPad app)
- School / organization administrators who configure the Service
- Visitors to public pages on classdolphin.com
2. Information we collect
Depending on how you use the Service, we may process:
- Account information — name, email, username, role (teacher/student), organization membership
- Authentication data — passwords (stored as hashes), API tokens used by the iPad apps
- Class and roster data — class names, enrollments, student codes, invites
- Educational content — exams, answers, drafts, homework submissions, grades, teacher feedback, lecture notes
- Class session / integrity activity — when a teacher starts a class observation session: heartbeats, app foreground/background, coarse screen category (for example exam or lecture), and whether device containment such as Guided Access is active
- Exam session activity — attempt status, soft locks, exam heartbeats while an attempt is in progress
- Browsing policy — school-configured Research allowlists used by the Student app
- Technical and operational data — server logs, aggregate reliability metrics; optional crash reports if Sentry is configured for a build (crash tooling is configured not to send default personal identifiers)
- Device / MDM configuration — schools may push Managed App Configuration (for example API host). That is school IT configuration, not advertising tracking
3. What we do not collect for this product
- Device camera or microphone recording for class observation or exams
- Full device screen video / remote desktop
- Keystroke-level capture of answer typing into observation logs
- Clipboard contents or passwords in observation payloads
- Advertising identifiers or cross-app tracking for ads (ClassDolphin does not show third-party ads in the iPad apps)
4. How we use information
- Provide sign-in, classes, exams, homework, and teaching tools
- Support live classroom integrity (roster activity and soft locks) when a teacher enables a session
- Show teachers integrity signals such as Contained / Soft only / Left app / Offline when available
- Operate, secure, and debug the Service
- Comply with law and school instructions
Soft “class lock” and “attempt lock” are product controls inside ClassDolphin. Blocking Home or other apps on an iPad requires school Guided Access or MDM. The Student app can report whether containment is active; it does not replace school device management.
5. How information is shared
- Within your school — teachers see data for their classes; students see their own work; admins see what their role allows
- Service operators — infrastructure and optional crash tooling needed to run ClassDolphin
- School MDM / Apple distribution — if the school distributes apps via Apple School Manager, Jamf, or similar, the school’s MDM may also process device management data under the school’s policies
- Legal — when required by law or to protect the Service and users
We do not sell personal information or use app data for third-party advertising.
6. Retention
Account and educational records are retained while the school uses the Service and as needed for the school’s gradebook and policy needs. Class observation events are retained until removed under school / operator processes (no automatic short purge for observation events in the current product). Operational metric snapshots are purged on a short rolling window (on the order of 30 days). Schools may request deletion or export through their ClassDolphin administrator.
7. Children and student data
ClassDolphin is designed for school use. Student accounts are created or invited through the school. Parents and eligible students seeking access, correction, or deletion of education records should contact the school (registrar / privacy contact) under the school’s FERPA or applicable process. The school can then work with ClassDolphin operators to fulfill the request.
8. Security
We use industry-standard measures appropriate to an online school service (including encrypted transport via HTTPS and hashed passwords). No method of transmission or storage is 100% secure.
9. iPad apps and App Store privacy labels
The Student and Teacher iPad apps collect account, educational, and classroom-activity data as described above to provide the Service. They do not track users for advertising. Optional crash reporting may be enabled by the operator or school configuration.
10. Your choices
- Teachers control when class observation sessions and deep observation are on
- Schools control MDM / Guided Access and Managed App Configuration
- Users may sign out; schools can deactivate accounts and revoke access

Privacy questions about the ClassDolphin Service: contact your school’s ClassDolphin administrator, or the ClassDolphin operator associated with your school account.
Student education-record requests (FERPA and similar): contact your school’s designated privacy / FERPA contact first. The school will coordinate with ClassDolphin as needed.

12. Changes
We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the Service after an update means you acknowledge the revised policy, subject to your school’s agreements with ClassDolphin.
